Read the completion document literally
Keep the learner, provider, exact course title, dates and outcome wording. Distinguish attendance from an assessment result and retain the relevant supporting record. A broad course category in a spreadsheet may conceal important differences between programmes.
Resolve review dates from evidence
Use a renewal or review date only when it comes from the applicable course record, issuing body, employer requirement or another verified source. Record which source sets it. If the requirement is not confirmed, mark it as a question to resolve rather than calculating an invented expiry date.
Illustrative records gap
A register says “fire course - complete” but omits the catalogue group and certificate wording. The coordinator locates the document, records the exact title and asks whether it meets the employer’s role requirement. The old generic entry cannot establish that the learner attended the intended programme.
Connect records with workplace follow-through
Track any agreed workplace application or observation separately from the course record. Restrict access to learner information and use the organisation’s retention arrangements. A records register helps coordination; it is not an automatic competence, compliance or appointment decision.
