Describe learner roles, relevant experience, group size and any accessibility requirements. Separate new learners from people seeking an update so that the initial discussion reflects the actual group.

Operations

Explain the sites, shifts, language needs and operational constraints involved. Identify who can coordinate attendance and whether learners from different teams can realistically be released at the same time.

Setting

State the town or city and whether you prefer a client site or an arranged venue. Describe the available space without assuming that every course can use the same setting.

Commercial process

Identify the quotation contact, internal approver and purchase-order requirements. Share a realistic decision timeframe as well as preferred training dates so that purchasing and operational planning can be coordinated.

How it works

From training needs to confirmed dates.

    Brief

    Name the capability or topic and explain why the organisation needs it. Add the learner roles, estimated group size and workplace context. If several departments have different needs, distinguish those groups instead of treating all staff as one uniform training request.

    Check

    Diba BES checks the current course information against the requirement and identifies points needing clarification. Your coordinator can use this stage to compare the course with the intended workplace outcome and raise questions about entry, delivery, assessment or completion requirements.

  3. 03

    Scope

    Clarify the learner numbers, delivery setting, preferred timing, preparation and purchasing requirements. Separate arrangements already confirmed from preferences still under discussion. Changes to the group or venue should be raised at this stage so the proposed scope is based on the latest information.

  4. 04

    Confirm

    Use the accepted scope and confirmed booking details to brief learners and finalise internal arrangements. Keep the relevant contacts informed if attendance, access or timing changes. The original enquiry provides context, but the confirmed arrangement is what the organisation should use for delivery planning.

Before quotation

The details that shape your training.

Dates and shifts

State the desired dates or timeframe and whether the learner group follows shifts or other operating windows. Identify dates that are preferences and deadlines that are fixed, and explain how many learners can be released together.

Language and access

Include language, accessibility or workplace conditions that Diba BES should consider before a delivery route is confirmed. Raise support needs early without sending medical records or assuming a particular accommodation is already available.

Procurement

Record purchase-order or onboarding needs early. An enquiry does not itself accept a quote, reserve dates or create an instruction to deliver training. Name the internal approval contact and explain any lead time needed for your purchasing process before dates can be finalised.

What should an organisation include in its first enquiry?

Include the topic or capability, learner roles and numbers, location, preferred timeframe and delivery preference. Describe any shift, language, accessibility or purchasing requirements. It helps to identify the person coordinating the group and the person approving the quotation, particularly when they belong to different departments.

Can training be planned at our workplace?

A client-site preference can be submitted. Diba BES must confirm course suitability, learner numbers, venue conditions, practical needs and dates. Explain what space is available and who controls access. Do not assume that an ordinary meeting room or a format used for another course will meet this course’s requirements.

Can a purchase-order process be included?

Yes. Note purchase-order, supplier-onboarding and invoicing requirements early so they can be considered during quotation and acceptance. Identify the correct business entity and approval contact. This gives your team an opportunity to resolve internal purchasing steps before learners are instructed to attend or dates are treated as confirmed.

Does an enquiry reserve training dates?

No. The course, scope, commercial process and operational availability must first be checked. Distinguish your preferred dates from a deadline that cannot move, and offer alternatives where possible. Before releasing staff from their normal duties, make sure the relevant booking and delivery details have been confirmed with the training team.

How can we plan training for staff on different shifts?

Group learners by role, location and realistic release window before proposing dates. Explain how many people can attend at once and which responsibilities need continued coverage. Discuss possible groups with Diba BES rather than assuming one session will suit everyone. Final group arrangements depend on the course, delivery requirements and available scheduling options.

What should we confirm before learners attend?

Check the accepted course, dates, location, reporting time, learner list and any preparation instructions supplied for that course. Make sure learners know who to contact if they cannot attend. Your internal coordinator should also confirm the purchasing arrangements and the person authorised to resolve last-minute changes, without treating an earlier enquiry as a completed booking.

How can our organisation follow up after training?

Keep the completion and assessment information provided for the agreed course and share it with the appropriate internal owner. Discuss how the learning relates to the learner’s work and whether further support is needed. A course record should be considered alongside your workplace arrangements; it does not by itself confirm that every organisational training need has been met.
