Clarify the actual role

Training and the employer’s role or appointment arrangements are separate matters. Confirm the intended role, area and communication route with the responsible person. Use current legal requirements and competent advice where role duties need interpretation.

Illustrative issue log

A representative raises a concern about a recurring obstruction in a shared area. The log records where and when it was observed, who received it, the assigned action and the follow-up response. It does not treat the representative’s report as proof that management has implemented an action.

Make the response visible

Agree how acknowledgement, investigation, action and feedback are recorded. If the issue needs urgent attention, use the organisation’s relevant response route rather than waiting for a routine meeting. Keep sensitive information in appropriate controlled records.

Discuss application after the course

Ask learners and supervisors what parts of the workplace process remain unclear. A follow-up conversation can reveal that a communication route is missing even when attendance records are complete. Use that evidence to improve the process and clarify further support needs.
