Prepare learners for a training day

Confirm learner entry requirements and practical arrangements before the training day.

Confirm the exact programme

Use the full course title and catalogue group. Ask what prior learning, documents or experience are required and how the provider confirms suitability. Do not infer a prerequisite chain from course numbers alone, including First Aid Levels 1, 2 and 3.

Prepare logistics without collecting unnecessary private data

Confirm reporting times, venue or online access, full attendance duration and any required clothing or equipment. Raise accessibility or learner-support needs through the appropriate private channel. The initial public enquiry should not contain medical records or identity-document copies.

Illustrative coordination check

A learner can attend the first day of a two-day programme but is scheduled to work on the second. Resolve the conflict with the coordinator and provider before treating the place as confirmed. Partial availability is not evidence that the course can be completed in a different format.

Issue the confirmed instructions

Send learners the agreed course identity, date, location and contact once arrangements are confirmed. Retain a method for reporting access problems or substitutions. Ask the provider how assessment and missed attendance are handled; do not invent those rules in an internal joining note.
