Record the practitioner’s full name, registration number and exact category supplied in the proposal. Use the professional body’s current verification route and retain the date and result. A company profile or a similarly named person is not enough to establish the identity and status of the proposed appointee.
Define the appointment boundaries
Ask which project stages, sites and activities are included. Identify reporting lines, access to information, meeting expectations and how instructions are issued. The appointment should distinguish the agent’s work from decisions and duties held by the client, designers and contractors.
Illustrative appointment clarification
A brief requests “full project support”, but the proposal describes design-stage input only. Before signing, clarify whether construction monitoring and close-out are included or separately scoped. Avoid assuming continuous site presence or responsibility for contractor supervision from a broad service title.
Retain the verification trail
Keep the proposal, appointment, verification reference and any scope changes together. The professional body’s record supports registration checks; it does not verify Diba’s assignment-specific capacity, fee, availability or acceptance of your appointment. Those require explicit confirmation.
